Managing applications
Tracking deadlines
How to use the Deadlines calendar to stay ahead of submission dates across all your active applications.
Updated
The Deadlines page is a calendar view of every submission date tied to an award in your pipeline. It's the fastest way to see what's coming up without opening each application individually.
How deadlines get added
Deadlines come from the award database — when you add an award to your pipeline, its submission deadline appears on the calendar automatically. You can also set a custom deadline on a pipeline entry if the award's deadline isn't in the database yet, or if your team has an earlier internal cut-off.
Deadlines only appear for awards that are in your pipeline. Saved awards (your bookmarks) don't show up here.
Reading the calendar
Each deadline appears as a chip on the relevant date. Click it to open the award's pipeline entry directly.
Deadlines are colour-coded:
- Green — More than 30 days away
- Amber — 8–30 days away
- Red — 7 days or fewer
- Grey — Passed (entry was submitted or decision was made to pass)
Setting a custom internal deadline
If your team needs the draft finished two weeks before the official deadline, open the pipeline entry and set an Internal deadline. This appears on the calendar as a separate chip marked "Internal," so you can see both the real deadline and your self-imposed one side by side.
Deadline notifications
Go to Settings → Notifications to configure email reminders. You can set reminders at 30 days, 14 days, 7 days, and 1 day before each deadline. Notifications go to everyone on the workspace.
When a deadline changes
Award deadlines sometimes shift — publishers extend them, or a late extension gets announced. Awardica tries to keep deadline data current, but you should always verify the deadline against the publisher's own website before submitting. If you spot a deadline that looks wrong, use the Report a problem button on the award's detail page.
Deadlines vs. Tasks
Tasks (work items assigned to team members) have their own due dates, which are separate from the award's submission deadline. The Tasks page shows task due dates; the Deadlines page shows submission deadlines. Both matter.
