Managing and deleting your data

How to export your data, delete specific records, and close your account.

Exporting your data

You can export everything from the Reports section. Available exports:

  • Pipeline data — all pipeline entries with status, deadlines, fees, and notes
  • Library — all saved answers and entries, as a CSV
  • Award history — wins and shortlist positions
  • Activity log — timestamped action history

Downloads are CSV files. They're available at any time, including on the Free plan.

Deleting individual records

Pipeline entry: Open the entry → scroll to the bottom → Delete. This removes the entry and all its tasks and notes. It cannot be undone. The underlying award stays in the database.

Library entry: Open the entry → Delete. Cannot be undone.

Saved award: Click the bookmark icon to unsave.

Historical award win: Go to Intelligence → Your history → open the win → Delete.

Deleting your account

Go to Settings → Account → Delete account. Before deleting:

  1. Export any data you want to keep (the export link is shown on the same page).
  2. Remove any team members — they'll lose access immediately when the account is deleted.
  3. Cancel any active subscription — deletion doesn't automatically cancel billing.

Account deletion is permanent. All pipeline entries, library content, history, and settings are removed. This cannot be undone and we cannot recover the data after deletion.

Team member data

If a team member leaves and you remove them from the workspace, their work stays — pipeline notes they wrote, library entries they created, tasks they completed. Removing a team member removes their access, not their contributions.

GDPR and data requests

If you're in a jurisdiction covered by GDPR or similar legislation and want a copy of all personal data we hold, contact privacy@awardica.com. We'll respond within the statutory period.

Data retention after account closure

When you cancel and your account closes, we retain anonymised usage data for analytics but delete your identifiable data (company profile, library content, pipeline, and account details) within 30 days of account closure.
